Summary

On July 17, 2025, we performed a scheduled maintenance on a core system. The goal was to apply a series of upgrades to improve it’s long-term reliability, performance, and scalability.

The maintenance was completed successfully within the scheduled 30-minute window. Users may have experienced logouts and difficulty navigating the system as services were updated and brought back online. All systems were confirmed healthy post-maintenance.

  • Upgrade core system components
  • Address technical debt related to legacy configurations
  • Improve monitoring and prepare for future enhancements

What Happened

At 10:00 PM MDT, we initiated the maintenance window by applying configuration changes, rolled out service upgrades, and validated dependency health.

By 10:30 PM MDT, all updates were complete and the system was fully restored to production service. Traffic resumed normal routing, and final health checks were successful.

Impact

Customer Impact:

Users may have been logged out or experienced difficulty navigating parts of the system between 10:00 PM and 10:30 PM MDT. These issues were temporary and resolved as systems were brought back online and scaled up to full capacity.

Internal Impact:

Monitoring alerts were triggered as expected due to services being unavailable.

Root Cause

The temporary errors and service disruption were anticipated as part of the maintenance process. The duration of those issues was slightly longer than expected due to the time needed to deploy additional servers during the update.

What Went Well

  • Maintenance was completed within the planned window
  • Internal coordination and communication were smooth across engineering and support
  • Post-maintenance validation confirmed successful upgrade with no regressions
  • System performance metrics post-maintenance are trending positively

What Could Be Improved

  • Communicating the maintenance to users earlier would have helped set clearer expectations and allowed them to plan accordingly.

Action Items

  • Continue monitoring the system post-maintenance using existing dashboards
  • Maintain close alignment with the Customer Experience team to surface any potential issues
  • Leverage current observability tools to track ongoing performance and stability
